Job Description

We are looking for an Administrative Assistant to provide administrative support and secretarial services to our Risk Group.

Specific Accountabilities:

  • Process administrative documentation and forms including data entry, database maintenance, creating and updating spreadsheets, update administrative policy and procedures manual reports, ledgers and investigate / resolve discrepancies
  • Perform secretarial functions for department including calendar management, correspondence, appointment booking 
  • Maintain confidential and sensitive nature system files as well as coordinate archiving and off-site storage as necessary, obtain and exchange information on behalf of others as required
  • Research a variety of issues in response to specific information requests and prepare summaries and briefing notes
  • Respond to internal and external enquiries and provides information regarding the policies, procedures and mandate of departmental programs and services
  • Word-processes various documents including correspondence, reports, policies, forms and other such documents; prepares graphs, forms, and presentations and may perform routine desktop publishing of brochures, promotional and training materials
  • Prepare and/or processes expense claims, invoices, receivables, purchase orders and other financial items and maintains related records
  • Monitor departmental expenses, analyzes monthly variances, follows up with Controller’s department regarding discrepancies and advises manager of any concerns.
  • Coordinate procurement and delivery with external service providers and vendors for a variety of supplies and materials.
  • Prepare and process vendor contracts for products and services, liaises with Legal department and vendors regarding any issues, and maintains related records
  • Travel and event coordination including conferences, workshops, forums and other events
  • Schedule departmental and internal Committee meetings, drafts agendas, prepares, compiles and distributes meeting materials, and makes arrangements for meeting rooms, distribution on promotional materials, catering and equipment as required.
  • Manage the day-to-day department operations to ensure computers, telephones and other office equipment are working effectively; orients new users, troubleshoots issues and provides routine user support, working in conjunction with IT and equipment service providers as necessary; coordinates space planning, office moves and installation of new equipment and software
  • Maintain a collaborative working relationships within the department, across the organization and externally to vendors and members 

 

Qualifications

  • Community College diploma in business administration or related discipline, or an equivalent combination of education and experience.
  • Minimum 3-4 years related experience in a large scale administrative and business environment
  • Sound working knowledge of the principles, practices and processes involved in providing clerical, secretarial and administrative support services
  • Sound working knowledge of computers and relevant software, including word processing, spreadsheet, database and presentation programs
  • Good analytical, research and problem solving skills.
  • Strong organizational, time management, oral and written communication, interpersonal and customer service skills
  • Ability to multi-task, anticipate needs, co-ordinate work with others, troubleshoot issues, and balance and adapt to changing priorities
  • Ability to deal with a variety of situations with diplomacy and confidentiality
  • Ability to foster strong working relationships with internal staff and external contacts in order to accomplish objectives. Strong keyboarding and minute-taking skills
  • Proficiency in English grammar, spelling and punctuation
