We are looking for a detail oriented Executive Administrative Assistant, that is proactive, progressive and professional and displays a high degree of initiative. Position Overview

As an integral member of the administration team, the Executive Administrative Assistant provides outstanding support to the executive team in a highly organized, professional, and confident manner. Understanding the importance of building and maintaining relationships across the organization and with external stakeholders, contributes to a strong service culture in the delivery of strategic objectives.

The position has involvement with the Board of Directors and provides back up and support by coordinating and attending board and committee meetings, as needed.

Executive Team Support

  • Provide effective and responsive day-to-day support to executive team
  • Organize and coordinate internal and external meetings and corporate events, ensuring location and logistics are planned and arranged
  • Prepare a variety of complex and confidential correspondence

Marketing Support

  • Provide operational marketing support
  • Support community involvement activities 

Corporate Governance Support (established skill or willing to develop)

  • Support Corporate Affairs & Governance Manager with board reporting and attendance of board/committee meetings as required, recording minutes and ensure follow up of action items

  • Demonstrates strong attention to detail and accuracy in completing work and providing information
  • The ability to appropriately identify, prioritize, analyze and resolve problems; involving others where appropriate

  • Committed to professional growth and is responsible for ensuring skills and knowledge are up to date to meet position requirements

Experience & Education

  • Minimum two years’ experience in an administrative role, preferably within the financial services industry
  • Combined experience and post-secondary education in the areas directly related to financial services will be considered
