We are currently looking for a permanent full time Commercial Services Administrator to work out of our Hamilton Head Office. The starting rate for this position is $25.42 per hour.



Under the direct supervision of the Manager, Commercial Administration, this position is responsible for providing overall administrative support to the Commercial Services Department.


  • Focus on the highest quality member service, ensuring alignment with overall Tandia Credit Union and Commercial goals and objectives

  • Maintain follow up system to ensure timely submission of financial statements, insurance renewals, property tax payments, Letter of Credit expiries, and PPSA expiries for annual review of commercial accounts

  • Maintain follow up system for commercial mortgage renewals, PPSA expiries, insurance renewals, collection of reporting requirements, collection of fees, etc.

  • Preparation of Term Sheets for new prospects and Commitment letters for authorized credit facilities

  • Responsible for registering commercial security documentation, developing and reviewing mortgage payout statements, and preparation of Mortgage Discharge documents

  • Set up and maintenance of commercial credit/member files, including all supporting account documentation and opening current accounts

  • Preparation of Pre-funding Compliance Certificate for authorization of mortgage disbursements and the processing of loan advances and solicitors’ final reports

  • Completes background investigation and analysis under the direction of the reporting manager and assigned credits

  • Conducts preliminary analysis in preparation for commercial annual reviews

  • Provides administrative support to the Commercial Department, specifically in analyzing members’ needs and acting upon members’ requests

  • Assists Senior Managers within the Commercial team on overall management and control of delinquency

  • Preparation of monthly financial reports

  • Communicate, liaise, and follow up with external stakeholders (i.e. commercial members, solicitors, syndicate partners, insurance brokers, municipal tax authorities, accounting firms, etc.)

  • Other duties as assigned



The incumbent will have an understanding of credit union's business objectives, products and services at an 80% minimum knowledge proficiency and thorough knowledge of personal and commercial lending policies.  Understanding of legalities regarding consumer and commercial lending documentation and process is required with respect to mortgages, lodgement of titles, amending agreements, title insurance, general security agreements and PPSA registrations. A strong understanding of mortgage security registration is mandatory.  Adherence to Tandia philosophies and principles, mathematical calculations on ratios and amortization schedules and credit union computer system is also required.  Working knowledge of Microsoft Office 2007 applications (Word & Excel) is needed. 


Decision-making, problem-solving, and conflict resolution, time management, keyboarding, policy interpretation, verbal and written communication, and organizational skills.  Demonstrated ability to analyse financial statements and understand aspects of lending such as project financing, market analysis trends, and cash management, etc. The ability to work independently with minimal supervision.


  • Post-secondary diploma, degree and/or certification in Business Administration, Economics, Finance, Commerce, Real Estate or a related program, or an equivalent combination of education and experience

  • 1- 3 years of commercial services administration experience

  • Willingness to participate in the CUIC (Credit Union Institute of Canada) General Studies Program
