Investment and Estate Services Administrator - 16 Month Maternity Leave Contract

The IES Administrator provides administrative support to both internal and external clients through the processing of registered plans, mutual funds, and estate services. This position also assists with the day-to-day operations of the department and projects as assigned. Areas of focus will fluctuate as business needs or priorities change.

Key responsibilities of this role are:

Registered Plan Services

  • Provides administrative support for BlueShore Financial’s registered product offering; RRSP, RRIF, TFSA, RESP, RDSP and Locked-in plans.
  • Performs audits and reconciliations to ensure compliance. 
  • Provides support to branch staff on the administration of registered products.
  • Performs a variety of administrative functions: opens accounts, processes transactions, perform plan maintenance, reconciles and remits taxes as per CRA deadlines.

Mutual Fund Compliance and Processing

  • Assists with registration processing including onboarding and termination of Branch Compliance Managers (BCMs), Mutual Fund Investment reps (MFIs), and Branch Administration Officers (BAOs).
  • Processes adjustments, PAC’s, client re-assignments and other administrative functions as directed.

Estate Services

  • Ensures all appropriate controls regarding account operation are in place and performs account maintenance.
  • Reviews and prepares account records including interest paid and account balances.
  • Documents progress in CEM to ensure branch staff are able to fulfill requirements and/or client requests.
  • Processes the settlement of accounts, including registered plans and estate expenses.

Deposit Agency Services

  • Responds to routine enquiries from Deposit Agents and potential agents regarding rates, product offering and client accounts. 
  • Processes GICs including set up, confirmation and payouts.
  • Processes plan transactions including contributions, redemptions, transfers, and performs plan maintenance.
  • Performs image audits to ensure documents scanned by the ECM team and branches are stored in the correct format and location (client, type, etc.).

Wealth Management

  • Provides administrative support to BlueShore Financial’s Wealth Management team including; processing transactions, submitting blotters, reconciling trust accounts and facilitating the purchase and redemption of GICs
  • Works with team and service providers to facilitate client requests and assists in problem resolution.
  • Works within strict processing and reporting requirements such as trade deadlines to prevent losses to credit union.

Self-Directed Investments

  • Responds to routine account and product related enquires form clients, potential clients and other parties including lawyers, investment companies and other potential partners.
  • Facilitates purchases of Mortgage Investment Corporation (MIC) shares, posting cash and reinvested dividends and processing redemptions and re-registrations.
  • Assists with annual fee processing and collection
  • Processes GIC transactions
  • Issues monthly and quarterly statements
  • Reconciles trust account and performs various audit functions

Qualifications and Experience

  • Min 1 year experience in a financial institution
  • Basic understanding of registered plan and pension legislation and related income tax rules and CRA filing requirements
  • Basic understanding of mutual fund regulations
  • Basic understanding of Wills, Estates and Succession Act (WESA)
  • Solid understanding of privacy and anti-money laundering requirements and other laws applicable to investment products.
  • Solid understanding of BlueShore product offering and provide referrals where appropriate.
  • Basic understanding of banking system functionality, registered plans, securities and securities transactions.
