Assistant to the Board of Directors

As the Assistant to the Board of Directors, you will provide project management and administrative support in the areas of corporate governance, including primary support to the Board of Directors, and backup support to the CEO. This position will work closely with the Director, Communications and Corporate Affairs, the Director, Governance & Legislative Affairs, the Executive Management Team, and the Board of Directors on a wide range of matters, from routine to more complex, including new opportunities and initiatives.

Key responsibilities of this role are: 

  • Attends all Board and Board Committee (five in all) meetings; prepares and distributes agendas, meeting packages, minutes via APRIO Boardroom (online, web-based Board Book) and coordinates the follow-up of all business arising.
  • Supports Board committee members in all committee projects, providing project management leadership and administrative leadership and support.
  • Co-ordinates planning and execution of the Annual General Meeting.
  • Manages the annual Director Election process in accordance with the Credit Union rules including the production of the AGM brochure and Director Election materials as appropriate.
  • Manages all logistical aspects of the execution of the two-day annual board and Executive Management Team offsite strategy session.
  • Preparation, management and monitoring of the Board of Directors annual budget.
  • Provides project management support for board related projects.
  • Maintains annual board calendar and Board of Directors files as per regulations.
  • Administrator of APRIO Boardroom for the Credit Union; assign/setup of new internal/external users; training and development, maintenance of all information, etc.

Education and Experience 

  • 5-7 years in a senior executive assistant role, working with corporate governance and boards of a regulated organization a significant asset.
  • Certificate in office administration or equivalent.
  • Solid to Expert knowledge of the Microsoft Office Suite (Outlook, Word, Excel and PowerPoint).
  • Experience recording and producing formal meeting minutes.
  • Experience operating in a highly confidential environment with proven professional skills and demonstrated integrity and diplomacy.
  • Knowledge of credit union system an asset.
