Purpose of the Position:

The Executive Assistant provides confidential, professional, and refined executive-level business support and administrative assistance to Executive Management individually and collectively. In partnership with the Manager, Business Administration this position works to deliver effective and efficient management of the Executive Office.

Key Outcomes & Responsibilities:

As an Executive Assistant, you will deliver advanced support with experience, knowledge, and organizational skills.  We are looking for someone that can anticipate and analyze problems using logical reasoning and objective decision making strategies to resolve issues and that has the experience to manage administrative and business support details for a team of diverse, cross-functional executives. At Concentra we exercise strict confidentiality and a high level of professionalism while handling sensitive, personal and confidential matters, materials, and situations.  You will develop and maintain effective working relationships and partnerships across the organization and with internal and external stakeholders, clients, and suppliers and will optimize the personal and professional effectiveness of individual executive managers. This position is expected to provide strong communication with all executive managers to keep them informed of the workload and other priorities; continually managing prioritization of support duties, which can be complex and challenging.The preferred applicant will possess complete understanding of the demands with time management, including; the related preparatory requirements, deadlines, follow-up activities, practical groundwork for future commitments, arrange meetings, events, and travel logistics.

Professional correspondence support of various corporate forms is expected in the form of proof reading, editing, formatting and/or submitting as well as involvement with various external boards and committees. You will be effective and efficient while collaborating with and reporting to the Manager, Executive Assistant and Business Administration in order to deliver definite and well-organized management of the Executive Office including the management of executive records, documentation and file management, inventory supplies and budget costs associated to the department. This role will also contribute to team success and the achievement of department results by demonstrating change leadership/support while assisting with the development of processes and procedures as requested.

Minimum Qualifications:

  • Post-secondary education in business/office administration or equivalent combination of education and experience.

  • At least 5 years’ progressive experience in the office administration field including at an executive level.
